Work involves performing general clerical duties of limited complexity which require the execution of established policies and procedures based on knowledge gained through experience on the job in the Inspection Division.
Work involves performing data entry, maintaining records, files, and data; prepares and ensures the accuracy and completeness on submitted forms and reports; issues licenses and permits, calculates and tracks costs, responds to inquiries, prepares routine correspondence, answers telephones, and collects fees.
Responds to inquiries concerning Building Code rules and regulations from the public, contractors and property owners; answers, screens, and forwards telephone calls; greets and assists visitors; records and relays messages and appointments as necessary; disseminates information via telephone, fax, or in hard copy; documents complaints and requests; relays messages, orders, and instructions to inspection personnel and other building professionals in the field via radio communication; responds to routine complaints; provides contractors with billing information; maintains calendar of events and schedules; coordinates meetings, appointments, and facility use. Issues contractors’ licenses and/or building permits; collects, processes and records fees for permits, contractors’ licenses, issues receipts; counts and balances daily monies received; and prepares bank deposits.
Tracks, types, processes, reviews for accuracy or completeness, and maintains data related to licenses, insurance, state certificates, permits, payments, and other records in accordance with established policies and procedures; assists employees and the public in the completion of forms; makes necessary corrections and adjustments.
Performs data entry; operates a computer for record keeping and documented processing to input and retrieve data in support of division operations; maintains records, files, compiles and distributes monthly statistical building inspection reports. Operates a computer and applicable software, printer, scanner, two-way radio, multi-line phone system, calculator, and standard office equipment while performing essential functions.
Locates, retrieves copies and distributes permits and plans and other files, records, reports and written materials.
Communicates with the public, contractors property owners, other departments, utilities, professionals, and public officials while performing essential functions.
Requires regular and prompt attendance plus the ability to work well with others and work well as a team. Assists other office personnel as needed. Assists with training new License and Permit Assistants. Posts time cards.
